Graduation versus Commencement

Oftentimes, we use the terms "Graduation" and "Commencement" interchangeably in conversation. However, these terms signify different aspects of the overall process of completing your degree.

Graduation:

  • Is the act of completing all academic requirements for a degree.
  • Involves applying for graduation and paying the diploma fee, ensuring all financial obligations are met, and having your degree officially conferred and mailed to you.
  • Once your degree is conferred, you are considered a graduate, regardless of whether you attend the commencement ceremony.

Commencement:

  • Is the formal ceremony where graduates are publicly recognized and celebrated.
  • It is a free and voluntary event, meaning students are invited but not required to attend.
  • Students and guests listen to a few inspiring messages and walk across the stage in cap and gown to receive their diploma cover.

Degree & Certificate Graduation Checklist

  1. Check Graduation Eligibility: It is the student’s responsibility to run a program evaluation to confirm all requirements are complete. In Self-Service, select “Go To Progress” and ensure the program displayed is your current program. Address any questions with Advising and to verify that you meet all of these general and program graduation requirements:
    • Grades: Students must earn a “C-“ or above in all required courses, unless otherwise stated in a particular program. (Check your program in the catalog for specifics).
    • GPA: A cumulative grade point average of 2.0 or higher is required for graduation.
    • CEI Residency: Students must complete at least 25% of their programs credit requirement through the College of Eastern Idaho.

  2. Complete the Graduation Application: Students must formally apply to graduate and pay the respective fee since graduation processes do not happen automatically once a student completes all their courses.

    Students can apply online on Self Service and pay the $15 application fee until the deadline mentioned below. Once the deadline passes, only paper applications are accepted, and an additional $15 late fee will be applied. Paper applications are available in the Registrar’s office. Fees cover the cost of printing and mailing your diploma.

    Students who plan to graduate with more than one certificate/degree must visit Advising to get the additional programs activated so they can apply and pay for each credential separately.
    • Online Graduation Application Deadlines:
      • Fall: October 1st
      • Spring & Summer: February 1st
    • Late Paper Application Deadlines
      • Friday after the Last Day of the semester the student is applying for.

  3. Ensure you have no Outstanding Charges: Students must have a zero balance in order for graduation to be processed. Visit the Cashier’s office for any questions and to pay any remaining balance.

  4. Complete all Coursework & Program Requirements: Students must complete all required coursework and program requirements as defined in your catalog year by the last day of the semester you applied for. (See Advising for questions).
    • Students may select any edition of the catalog from their date of enrollment to the completion of their program as long as they are continuously enrolled.
    • If students do not maintain continuous enrollment, they will lose the right to use the original catalog requirements and must use the current catalog edition at the time of re-enrollment.

  5. Ensure the correct name and mailing address is on file for you in the Registrar’s Office if either have changed since filling out the graduation application.
    • If you plan to move before you receive your diploma (2-3 months after the semester ends) please use a backup address such as a PO box, your new address, or a family or friend’s address.
    • The name that is displayed on your diploma can be your legal name or a chosen name. If you are under the age of 18 however, you must provide only your legal name according to Idaho law.
      • If you need to change your legal name: turn in a Name Change form to the Registrar’s office along with documentation like a drivers license or SS card with your new name on it.

Degree & Certificate Graduation FAQs:

What if I don’t meet all graduation requirements like I planned to this semester?

If you already applied for graduation this semester but ended up not meeting any of the graduation requirements you originally planned to meet, please visit the Registrars office to request moving your application to the next semester. If you have not yet applied, please wait to apply until next semester.

What if I don’t submit an application or pay the fee?

You will not receive a diploma, and your transcripts will not show that you earned a degree/certificate. Applications are the only way to graduate from CEI.

If you miss the deadline for the current term, you must wait to apply during the next term and will not receive your diploma or have your degree on your transcripts until that semester’s processing is complete (generally 2-3 months after the semester ends).

When will I receive my diploma?

Students will receive their official diplomas in the mail at the address they put on their applications after the graduation verification process is complete. Diplomas will be mailed out anywhere from 2-3 months after the end of the semester due to the time it takes for manual verification reviews, printing, and mailing. Transcripts, however, will have degrees stamped on them a few weeks before you receive your diploma in the mail. Keep an eye on your CEI email for notification when these processes are complete and diplomas are sent to the printer.

When will my degree be listed on my transcript?

Students’ degrees will not be stamped on Official or Unofficial Transcripts until the graduation verification process is complete. This may take anywhere from 2-3 months after final grades are submitted. Please keep watch of your CEI email for notification of when final grade and degree verification processing is completed.

What if I need my degree listed on my transcript sooner so I can attend my new school, job, or military service?

If students need to send a transcript with their degree listed, please either wait until after receiving notification that degrees have been posted or mark the transcript for “hold for degree” while ordering the official transcript on the online ordering site.

We are unable to process an individual degree on transcripts as we process degrees program by program so there is no way to “jump up in line” or hasten the process to meet your timeline. However, for those requiring a transcript sooner, you do have a few placeholder options:

  1. You can reach out to your transfer school/workplace to explain that final degrees
    are not ready yet and oftentimes, they may accept a temporary unofficial
    transcript with final grades and no degree as a placeholder until degrees are
    ready to be sent.
  2. You can request the Registrar’s office to email a letter of completion explaining
    that degrees are still in process but verifying that you have completed all the
    requirements and will be receiving a degree/certificate. We can send this letter to
    you or to your new school/workplace/military as a placeholder until degrees are
    processed.

How do I get an Affidavit for my program requirements?

Students in programs that require affidavits (i.e., Surgical Technology, Practical Nursing, and Registered Nursing) will have their affidavits sent by the Registrar's office as part of their graduation verification processes after the semester ends.

Students will need to make sure Exit Counseling for financial aid is complete and that all fees owed to the Business Office are paid to avoid delays in processing.

Is there anything else I need to do to graduate if I don’t plan on attending Commencement?

As long as the graduation application is turned in and you meet all your requirements, there is nothing else you have to do. If you are not planning on attending Commencement, you can pick up a free diploma cover at Grad Fest at the end of the semester or anytime in the Registrar’s office.

You may choose to attend Commencement or not at any point in time (please let the Registrar’s office know if you want to be added to or removed from the Commencement info mailing list).

How do I order official CEI Transcripts?

You can order transcripts online by going to the CEI website and clicking “Quicklinks” at the top. This will bring up a ribbon that has an icon that says “Transcripts”. Click the Order Transcript button which will take you to the National Student Clearinghouse CEI page where you can begin an order at the bottom of the informational page.

Official Transcripts are charged at different rates depending on how they are sent. If you choose a mail or pick up option, it is $10.25. If you choose an electronic delivery option, then it is $11.40.

Please be aware that if you submit an order before degrees are posted, your transcript will not show your degree, and most schools will require a second updated transcript after degrees are finalized. There is an option to place a “Hold for Degree” hold on the order which means the transcript will not be sent and charged until degrees are posted.

  6. Order all Transcripts from High School and other Colleges: It is up to the Early College student to order their final High School transcripts as well as transcripts from all other colleges to be sent to CEI.

    All official transcripts must be received at CEI by July 31st in order for graduation to be processed. If transcripts are missing from High School or other colleges, it will hold up degree processing and may push it back until the end of the next Fall semester. Please be aware that some high school’s close transcript processing during the summer so it is best to order your high school transcript as soon as possible after your high school graduation event.

Early College Student Graduation FAQs:

Can I attend Commencement in May as an Early College student?

Yes! You will just need to buy or rent the correct CEI blue regalia and let your Early College Advisor know that you are planning on attending. The Early College Department will also give you a special honor cord to distinguish you as someone who earned a college degree while in High School. Please see the Commencement information tab for more details and reach out to Early College with any questions.

When will I receive my diploma in the mail?

What if I don’t get all my High School Transcripts in on time or if I am missing other requirements for graduation?

You will receive an email from the Registrar’s office letting you know that there are items missing and a final date to get them into us by. If that final date passes, you will still be required to complete those steps, but you will also have to wait for the Fall semester degree processing period before your degree will be processed (which means your transcripts and diploma will not be complete until around February or later).

Why do all Early College students have to wait until after Summer for degrees to be processed even though I completed my requirements and walked in May?

All Early College students who are graduating with CEI will have their degrees processed at the end of the summer term. Early College programs are processed all together at that time to allow students enough time to finalize their transcripts and other requirements for graduation. Some students also take their last few credits during the summer term.

Apprenticeship Checklist

Apprenticeship Commencement Checklist

4th Year Workforce Training Apprenticeship students in Electrical, HVAC, or Plumbing are invited to attend the Commencement ceremony in May if they are on track to complete all their coursework and hour requirements to test for their Journeyman license.

Apprenticeship students do not need to submit a graduation application as specific licensing and certificate information will be given out by instructors and program advisors from the Workforce Training side of campus. However, students will need to let their program manager know that they are planning to attend Commencement so they can RSVP for you.

All students must wear CEI blue regalia (cap and gown) to participate in Commencement. It will be up to the apprenticeship student to obtain the correct cap and gown. Regalia can be ordered online through Jostens, or they can be rented for $15 in the Registrar’s office March through May while supplies last.

Commencement

Commencement Details

CEI hosts one Commencement ceremony at the end of Spring semester in May. (There is no formal ceremony at the end of Fall semester; Fall graduates are invited to walk in May along with Spring and Summer graduates.)

The 2026 Commencement Ceremony will be held on May 12th, 2026 at 7pm at the Mountain America Center on 1690 Event Center Dr in Idaho Falls. It generally lasts around 1.5 to 2 hours. The ceremony is not recorded nor livestreamed.

Commencement FAQs:

Are there tickets for seating? What if I or a guest needs accessible seating?

There are no tickets for the Commencement ceremony, but we do ask that grads invite no more than 8 guests. Seating is on a first come, first served basis. Doors open at 5:30 pm. If a graduate or guest needs accessible seating accommodations, please call 208-535-5673.

Do I have to wear regalia (cap and gown) to participate in Commencement?

Yes. All students who wish to walk across the stage at Commencement must wear CEI blue regalia. Regalia can be purchased through Jostens or rented through the Registrar’s office.

Gowns must be fully zipped up while walking across the stage. Caps should be worn on the top of your head and not be pinned to the back of your head. Hoods are for students graduating with an associate degree and is worn with the longer side with the stripes on your back.

How do I purchase regalia? Are there deadlines for ordering?

Regalia can be ordered online through Jostens. Ensure you choose the correct “collection” according to which degree you are graduating with as there are a few differences between each package: Associate or Certificate or Apprenticeship.

All items purchased from Jostens are yours to keep. Purchased caps can be decorated for the ceremony but do not use derogatory language or images. Rented caps cannot be decorated.

Please be aware of ordering deadlines to receive regalia before the day of Commencement:

  • Last Day to order Associate Regalia: 4/6/26 (Ships within 5 weeks)
  • Last Day to order Certificate and Apprentice Regalia: 4/20/26 (Ships within 3 weeks)

How do I rent a cap and gown? Are there different rules between renting vs buying?

The CEI Registrar’s Office rents a limited number of associates and certificate regalia - caps, gowns, and hoods (hoods are for associates only). The rental program begins in March and is open until supplies run out.

  • There is a flat $15 rental fee that is used to dry clean regalia after rentals are returned.
  • Regalia is available on a first come, first served basis and no reservations via email or telephone are accepted.
    • Students must come in person to sign a rental agreement form and pay the fee to receive regalia rentals. The Registrar’s office is located in bldg. 3 rm. 353 and is open Mon-Fri between 8-5.
  • Rentals are due back to the Registrar's office by the end of May.
    • If rentals are not returned by this date, a hold will be placed on the student's account restricting transcript orders until it is returned.
  • Rented regalia may not be modified, decorated, or self-cleaned. Do not put gowns or caps in a washer or dryer. Do not decorate a rented cap or gown.
  • Do not iron gowns. If wrinkles are present, you may use Febreze or a steamer. You can also run a hot shower and let the gown hang in the steamed room to help wrinkles fall out.
  • Rentals do not include tassels, honor cords, stoles or other regalia accessories.

What GPA qualifies for an Honor Cord? Are there other accessories I can wear?

Honor cords, tassels, stoles, leis, and other traditional accessories may be purchased and worn at Commencement. Caps are allowed to be decorated if purchased, but not if rented. Please no derogatory language or imagery.

  • Honor cords depend on cumulative GPA as of the last completed semester at CEI. (ex. Spring grad's GPA's will be calculated as of the previous Fall semester).
    • Silver cord: 3.5 - 3.749 GPA
    • Gold cord: 3.75 - 4.0 GPA
  • If you are a Veteran, visit the Registrar’s office to pick up a free red, white and blue cord to honor your service.
  • If you are an Early College student, the Early College department will give you an Early College cord. Please reach out to Katie Fonnesbeck for information.
  • If you are a member of Phi Theta Kappa or Student Senate, please reach out to Bailey Winn for information on PTK and Student Senate pins and stoles.

If you have questions about an accessory not listed here, please contact the Registrar’s
office to verify if it is ok to wear.

Will my name and other info appear on the Commencement program?

As long as you submitted a graduation application before the beginning of April, your name, degree, program, and honors distinctions will appear on the print and digital Commencement program that is available for event guests. If you are a part of PTK or Student Senate, that membership will also be notated next to your name.

If you submitted a graduation application after the beginning of April, there is a chance your information will not be included in the program due to printing deadlines.

How does the Commencement ceremony go? What should I expect?

Graduating students need to arrive at the Mountain America Center no later than 6:30 pm as the ceremony begins promptly at 7 pm.

Students will pick up their name cards at the table in the hallway while guests will seat themselves in the auditorium. Students will keep the name cards with them, check them for spelling, and make notes on pronunciation if needed so the announcer pronounces their name correctly.

Students will line up with their fellow program graduates (signs are provided indicating where to line up) and will follow the CEI staff members directions when it is time to proceed into the auditorium. After the processional music stops, students will sit at their seats and the program will begin.

When it is time for graduates to walk across the stage and receive their diploma cover, CEI staff members will direct one row at a time to stand and line up for the stage crossing. Students will hand their name cards to the announcer, walk across the stage, then return to their seats.

Once the ceremony is complete, students will leave the auditorium row by row in a recessional that will take them outside the Mountain America Center where guests may meet them for photos and congratulations.

If I am not able to attend Commencement, how do I obtain a diploma cover?

A diploma cover is a leather cover that protects the official diploma once it comes in the mail. You will receive one free cover when you walk across the stage. If you are not able to attend Commencement (or if you are graduating with more than one degree or certificate), you can obtain one by attending Grad Fest or by visiting the Registrar’s office.

What items are not allowed in the Mountain America Center?

The following items are prohibited due to Mountain America Center Policy:

  1. Balloons, confetti cannons, glitter, glass vases, & noisemakers of any kind.
  2. Weapons of any kind – including pocketknives, guns, tasers, etc.
  3. All outside food/beverages. (Candy leis are allowed.)
  4. Any items related to or used for smoking, vaping, or tobacco use.
  5. Animals- except for service animals as defined by the American Disabilities Act.

Does CEI record or livestream the ceremony?

No, CEI does not live stream nor record the ceremony. Guests may record, livestream, and take photos as long as there is no flash or disruption to those around them. Guests can not stand in front of others who are seated nor can they stand in the aisles during the ceremony.

Other Grad Events

Other Graduation Events

Grad Fest and Nurse Pinning are two additional graduation related events that happen at the end of Fall and Spring semester.

Grad Fest

Grad Fest is an informal graduation party event hosted by the Registrar's office and Student Life at the end of both Fall and Spring Semesters.

  • Grad Fest is free for graduates and their families/friends. Join us for games, activities hosted by campus clubs, eat pizza and cupcakes, take photos at our photo booth, and more!
  • Students will also receive more information on Graduation and Commencement and will have the opportunity to learn about other resources available to help with your transition out of CEI.
  • If a graduating student is not planning to attend Commencement or if they are graduating with more than one degree or certificate, grads can pick up a complimentary diploma cover at Grad Fest.
  • Please watch your student email for information on when and where Grad Fest happens each semester.

Nurse Pinning

The Nurse Pinning ceremony honors students graduating specifically from the Registered Nursing and Practical Nursing programs. This tradition welcomes each graduate into the nursing profession.

  • Nurse pinning does not require cap and gown, but participants should wear semi-formal or professional dress.
  • Livestream links will be emailed to students for distribution one week before the ceremony.
  • Detailed information will be emailed to nursing students during their final semester of the program.
